Auto Repair Estimate Form Excel: When a Sheet Is Enough

A rusty brake rotor, new brake pads and a pencil on a steel workbench

Writing up an estimate is where work done and work recommended get mixed together. An auto repair estimate form Excel file can keep them apart, and so can a printed sheet, as long as each kind of work has its own section, its own amounts and its own approval.

Auto repair estimate form Excel: what the estimate has to hold

An estimate is a promise about price, so it needs a few fixed parts. The Federal Trade Commission says a written estimate should identify the condition to be repaired, the parts needed and the anticipated labor charge. It should also say the shop will contact the customer for approval before doing work beyond a set amount of time or money, according to the agency's auto repair guidance.

Rules differ by state, so check yours. California is a useful example because its repair bureau spells things out. Its Write It Right page says an estimate must contain a description of the specific job and the estimated price for all parts and labor. It also says the customer's authorization must be obtained and recorded on the estimate before repairs begin.

Is a written estimate required, and must the customer sign it? In California, yes for an estimate: the same page says one is required before a repair dealer does repairs, with an exception for preventive maintenance that is free or where the customer acknowledges the displayed price. A signature on the estimate is one way to authorize a job. A statement the customer gives orally or electronically also counts, if you document it on the estimate. The FTC advises customers to get a signed copy and notes that state law may require the shop to call before going over an agreed amount. Rules differ by state, so check yours with your state's repair regulator.

Part of the estimateWhat goes there
The jobWhat is wrong, in words the customer can read
PartsEach part, so the customer sees what they pay for
LaborThe labor charge, from your hourly rate
AmountOne price per line
ApprovalA mark by the customer on each line, before work starts
ValidityHow many days the price stands

Customers read an estimate as one list. They see "brake pads" and wonder whether you already replaced them. Give work you finished its own section, and keep recommendations apart.

The sections follow the order of the visit.

1. Inspectthe vehicle 2. Record workcompleted today 3. List whatneeds doing 4. Price eachline 5. Customerinitials a choice Done work and recommended work stay in separate sections.

Our findings and estimate sheet follows this order. It has a "Work completed today" section, then "Attention now" and "Attention soon" for recommendations. Each recommendation line has columns for recommended work, parts, labor, amount, and approve and decline initials. A totals block holds parts, labor and the estimate total.

When an Excel sheet is enough

An Excel file is a good fit when you quote at a desk or by email. Formulas can add the lines. You can keep your hourly rate in one cell. Microsoft explains how to lock cells and protect a worksheet so staff change only the cells you free up.

Excel gets awkward at the counter. A customer has to initial a printout, and a printout of a spreadsheet takes some setup to fit on one page.

A customer who can see what was done, what is advised and what each line costs rarely argues about the total.

Estimate, work order and invoice: how they differ

An estimate prices a specific job before you start. A work order adds what the customer authorized and the vehicle's odometer reading. An invoice comes at the end, with final prices and the parts and labor actually used. Those are the California bureau's definitions, and the FTC similarly describes a completed repair order that lists each repair, the parts, the labor and the odometer readings.

Parts, labor and tax sit on different documents. List each part and the labor charge on the estimate. In California, sales tax appears only on the invoice, not on the estimate. Another state may handle tax differently, so ask your state's repair regulator or tax office before you print a tax line.

What our estimate sheet is, and what it is not

Our sheet is a findings-and-estimate sheet. It is a PDF, not an Excel file. It is not a work order, and it is not invoicing software. It does not take payments.

Our sheet is made for a shop's own records, and is not a state inspection form, a manufacturer form or a private buyer's checklist.

The paid kits carry shop fields for your shop name, address, phone and logo, and an add-your-logo tool that opens in a Chromium-based browser and works offline. We tested it in Chromium. Chrome, Edge, Safari and Firefox were not run, and nothing is uploaded. The free sample has no logo tool. Fillable fields work on screen, but we tested that only in the PDF viewer built into Firefox (pdf.js) running in Chromium. Other viewers are untested. Print the sheet at Actual size (100%) if you would rather write on paper.

Your techs see the same legend, the Shop standards page and two filled sample pages, so everyone reads a mark the same way. The sample pages are for training and are not meant to be handed to customers.

The sheet does one job. It records completed work apart from recommendations, with the amounts you write in and the terms you set. The Shop standards page holds your hourly labor rate and how many days an estimate stays valid. You can look at the findings and estimate sheet in the Multi-Point Inspection Kit before you decide.

When to skip it

Skip our sheet if you need numbered estimates that flow into invoices. Use shop management software or your own spreadsheet instead. A sheet cannot track parts orders or send a customer a link.

Frequently asked questions (FAQ)

What is a template for an auto repair estimate?

It is a blank form with the job description, the parts, the labor and the amounts laid out, plus a place for the customer's approval. The California Bureau of Automotive Repair says an estimate must contain a description of the specific job and the estimated price for all parts and labor.

How to make an estimate template in Excel?

List the lines you quote, with columns for recommended work, parts, labor and amount. Add formulas for the totals. Then lock the cells that hold your layout and unlock the ones staff type into, as Microsoft describes, before you save it as the master copy.

Conclusion

An estimate has to do three things: say what was done, price what you recommend, and record what the customer approved. A spreadsheet does the adding for you. A printed findings-and-estimate sheet gives you a clean page to initial at the counter. Pick the one that matches how you talk to customers.
